Board Service Overview
The work done by the CHPRMS board is organized and completed through five - six committees. Each committee is chaired by at least one board member and each board member serves on at least two committees. Committee work is not limited to board member involvement, and CHPRMS encourages society members to become involved on a committee. We’d love if you would join us!
Summary of Board Service Commitment
Board Composition & Terms
Board members serve a two-year term with the option to renew pending approval of the Executive Committee.
The Board of Directors is comprised of the elected officers (President, President-elect, Secretary,
Immediate Past President) plus 12 at-large members elected by the membership.
At-large directors serve one year in each of the Executive Committee functions, moving from Secretary, to President-Elect, to President, to Immediate Past President.
Only active members in good standing are eligible to serve on the Board.
Board Duties & Expectations
The Board has general supervision of the affairs of CHPRMS between its business meetings, sets
meeting dates, and makes recommendations to CHPRMS.
Board members are expected to serve on at least two committees — Membership & Education,
Conference Planning, Communications, Sponsorship, or Awards & Recognition.
Any board member who misses two or more meetings in a calendar year without prior approval of the
President will be considered to have resigned (though they retain CHPRMS membership).
Meetings & Participation
Committees are expected to meet virtually once a month and present a report at the monthly Board meeting.
The Board meets virtually once a month, with one in-person Board meeting in August, held at the location of the Annual Conference
Board meetings (regular and special) may be called by the President or by three board members.
Proxy voting is not permitted for CHPRMS meetings.
Other Governance Notes
Committee Chairs and Volunteers are decided at the beginning of the CHPRMS year of service, following the Annual Conference.
CHPRMS follows Robert’s Rules of Order Newly Revised for parliamentary procedure.
Additional Time / Attendance Expectations
In addition to the bylaws, CHPRMS board members can expect the following commitments:
Two monthly virtual committee meetings (~1 hour each).
Monthly virtual board calls (~1 hour each).
One in-person board meeting, usually in August at the annual conference location (Asheville or
Charleston), which includes a venue walk-through.
Attendance at the annual conference, typically held in November.
Summary of What a New Board Member Should Plan For
Serve a two-year term (if elected as an at-large member).
Participate in monthly virtual meetings for two committees and one board meeting (~1 hour each).
Attend one in-person meeting in August (travel required).
Engage in at least two committees — may include planning, sponsorship, or communications work.
Attend the annual November conference and support CHPRMS initiatives.
Attend virtual events hosted by CHPRMS, such as Lunch & Learns, and Coffee & Communications.
Maintain strong attendance and active involvement in CHPRMS governance and execution.
